Position Overview

Assist the Office Manager in ensuring the administrative tasks of a biodiesel production company are completed in a consistent and efficient manner. Position starts at 20hrs/week with the potential to increase later this year.

Summary of Position Responsibilities

  1. DAILY

    • Sort incoming mail and send outgoing mail
    • Read and return emails – info account
    • Check voicemails and return phone calls
    • Answer phones, provide customer service, take fuel delivery orders, and UCO pickups
    • Take Bioheat orders (seasonal)
    • Enter bills into Quickbooks and corresponding sales tax spreadsheets
    • Help coordinate/schedule fuel deliveries
    • Receive payments from bioheat customers in QB
    • Enter fuel receipts for BRB purchases into QB & IFTA spreadsheet
    • Update daily retail rack pricing spreadsheet
  • Prepare outgoing bill payments
  • Deliver certified and bulk mail to post office as needed
  • Call other heating oil companies for current pricing (seasonal)
  • Send weekly statement’s to customers from QB
  • Create and send credit memos
  • File paperwork
  • Coordinate current special projects, events, meetings, etc. as needed
  • Run additional errands upon request of other staff or supervisors
  • Import UCO pickups and new vendors to Quick Books
  • Complete admin tasks for new UCO contracts
  • Attend staff meetings  
  • Process Credit Apps for new customers and vendors
  • Send and/or enter monthly reports for UCO pickups for subcontractors
  • Process payments for all UCO clients – stuff, stamp, etc.

Measurable Outcomes

  • All incoming accounts payable and accounts receivable processed within 48 hours
  • Tax and compliance reports filed on time
  • Customers and clients provided with excellent service
  • Special projects completed by set due date
  • Data flows quickly and smoothly throughout company with no information being overlooked
  • Potential customers and members of the community educated about biodiesel and BRB

Job Requirements

  • Knowledgeable in basic accounting, bookkeeping, and Quickbooks software
  • Proficient in Microsoft Word, Excel, and Powerpoint
  • Ability to maintain data systems and attention to detail
  • Excellent customer/client service skills

  • Ability to multi-task and thrive in a dynamic environment
  • Ability to process information and maintain data flow
